After months of planning, the last thing you want on your wedding day is to be the one directing suppliers, solving problems, or answering logistics questions. Delegating tasks ahead of time means you can be fully present and actually enjoy the day you have planned.
Appoint a point person
Choose one or two people to be the main point of contact on the day. This is usually the best man, maid of honour, or a trusted family member. If you have a professional coordinator, they will fill this role. Whoever it is, make sure all suppliers know their name and number.
Tasks to delegate before the day
- Supplier liaison — someone to greet suppliers on arrival, show them where to set up, and handle any questions
- Guest wrangling — someone to guide guests to the ceremony space, point them to the bar, and keep things moving
- Emergency kit holder — someone with a bag containing safety pins, painkillers, plasters, a phone charger, and tissues
- Gift and card collection — someone responsible for gathering and securing gifts and cards at the end of the night
- Decor setup and teardown — people assigned to set up personal touches in the morning and pack up at the end
Tasks to delegate to the wedding party
Your bridesmaids and groomsmen are there to help, not just look good in photos. Spread tasks across the group so no one person is overloaded:
- Holding the rings
- Managing the timeline and keeping speeches on track
- Helping elderly or less mobile guests
- Distributing orders of service or confetti
- Coordinating group photos with the photographer
- Being the last ones to leave and checking nothing is left behind
Write it down and share it
Do not rely on verbal instructions. Write a simple list of who is doing what and share it with everyone involved at least a week before the wedding. Include timings where relevant. A shared document or group chat works well for last minute updates.
Let go on the day
Once you have delegated, trust your people. Small things will go differently to plan. That is normal. The guests will not notice, and neither will you if you are not trying to manage everything. Your job on the day is to get married and enjoy it.
